Running AI systems after launch
Once AI is part of daily work, new questions come up. Which tools are people really using, and with what data? Why did last month's bill double? Who notices when answers get worse after a provider updates a model? We set up the operational side. This includes an inventory of AI tools and integrations with an owner for each, single sign-on and access that matches people's roles, and usage and cost dashboards with spending limits. We also add a set of test questions that runs after every change to a model or its instructions, so drift shows up before users report it. We write the incident process too: how a bad output is reported, who looks at it and how a change is rolled back. If you prefer, we can run all of this for you on an agreed schedule.
Start with your workflow. We agree the first deliverable, data boundaries, scope and budget before work begins.
What we can deliver
What your team receives.
- Inventory of AI tools, integrations and data sources, with owners
- Role-based access and single sign-on where your tools support it
- Usage and cost dashboards with budget alerts
- Test set that runs after model, instruction or provider changes
- Incident and rollback procedure
Illustrative project example
Company AI operations
A company uses a hosted assistant for sales, a transcription tool for calls and an internal document search. The costs are spread across three different cards, and nobody is sure who has access. We bring billing into one view, connect sign-in to the company directory and run 50 known questions against the document search every week. If scores drop after a provider update, the owner gets an alert and can pin the previous model version where the provider allows it.
The final design follows your systems, documents and operating requirements.
Keep your team in control.
Data protection
Map approved data sources, access rules, retention and provider use before connecting AI to company information.
EU infrastructure options
Scope EU servers or self-hosting and disclose the processing location of model APIs, logs and backups.
Human approval
Agree where AI may suggest, where it may act and where a person must approve the next step.
Can we start small?
Yes. Start with one workflow, one team and an agreed outcome. We scope the pilot after learning about your data, systems and constraints.
Can our data stay in the EU?
We can scope EU-hosted or self-hosted options. The proposal identifies where each component processes and stores data, which providers are involved, and any transfer or remote-access implications. EU hosting alone does not establish compliance.
Can we use the tools we already have?
We start with your current workflow and systems. The proposal identifies the integrations, data access and handoffs needed for a useful first deliverable.
