# Stop website enquiries getting lost before sales follows up

A website enquiry should arrive in the CRM with an owner, useful context and a visible next action. Sending another email to a shared inbox rarely solves the underlying handoff. The opportunity is to connect the form to the way your sales team actually works, while giving the person who submitted it a dependable acknowledgement and keeping internal failures visible.

## Define the enquiry the form is meant to capture

Start with the commercial conversation you want to have. A request for a product quotation needs different information from a support question or a partnership proposal. Decide which fields help a person make the first useful response. Asking for everything at once creates work for the visitor and often produces uncertain answers that sales must clarify anyway.

Separate essential contact details from optional context such as timing, current systems or project description. Make the destination of the enquiry clear in the surrounding copy. If the form handles several request types, route each to a deliberate process instead of treating every submission as a sales opportunity. The team should know what a newly created CRM record represents before any automatic assignment starts.

## Give the submission a durable identity

Create a reference that follows the enquiry from the website into the receiving workflow. A visitor may press submit twice, refresh after a slow response or resend the same request later. Those situations need different treatment. Repeating the same accepted submission should not produce another internal task, while a later message may contain a legitimate update worth preserving.

The browser’s success message should reflect a durable acceptance point, not merely the fact that a button was clicked. If CRM delivery continues in the background, record that status internally and make failed deliveries visible to an operator. Reconcile accepted form submissions against CRM records so a broken connection cannot remain hidden behind an apparently healthy website. This is a small but valuable operating report for the integration owner.

## Match contacts without erasing the new conversation

An existing email address can suggest an existing contact, but it does not establish that every request belongs to the same opportunity. One customer may ask about two projects, and a consultant may contact you on behalf of several organisations. Preserve the submitted organisation and message even when the contact is recognised.

Define which matches can be automatic and which need review. A normalised email and a verified existing contact may support a link; similar company names alone deserve more care. If the match is uncertain, create a review item with the original submission and candidate records. Sales should see why the suggestion was made and be able to choose without losing either the new enquiry or the existing relationship history.

## Make assignment explicit and provide cover

Routing rules should reflect how the team takes responsibility: product, language, territory, account ownership or a shared intake rotation. Avoid a rule whose only outcome is sending a notification. Store the assigned owner on the enquiry and record when the assignment happened. The next action should remain visible even if the notification is missed.

Agree what happens when the usual owner is away or cannot accept the request. A reassignment needs an accountable recipient and should preserve earlier work. Use the following checklist to review the first version with sales rather than relying on a diagram that only the implementation team understands.

-   The intake record contains the original message and submission time.
-   A named owner or monitored intake queue receives the work.
-   The owner can accept, transfer or return the enquiry with a reason.
-   An agreed response target is visible and can trigger escalation.
-   A second submission is linked without deleting its new context.

## Treat privacy and hosting as part of the connection

Write down why each field is collected and who needs to see it. A sales enquiry is not automatically an instruction to add someone to every marketing campaign. Keep the enquiry handling process distinct from any separate subscription choice, and have the responsible business owner confirm the relevant notices and processing arrangements. Technical routing cannot decide those matters on its own.

Map the actual path through email, CRM, logs, support tools and any language or classification service. Keep unnecessary message content out of operational logs. Define retention, authorised exports and deletion handling across connected copies, not just in the CRM screen, so the team can explain where an enquiry went.

## Test the missed handoff as carefully as the happy path

Rehearse a new contact, an existing contact with a new project, a duplicate submission, an unavailable owner and a CRM outage. For each case, ask the operator to find the request, its current state and the action required to move it forward. Test the acknowledgement text too: it should describe what the person can reasonably expect next.

Measure unassigned enquiries, time to first useful response, delivery failures awaiting attention and incorrectly merged conversations. Compare these with a defined period before the change, allowing for differences in enquiry quality and volume. The aim is a reliable first conversation, not a larger count of automatically created records.
